Please note that all positions are on a purely volunteer basis, thus are unpaid and the majority of work will be take-home. We are all volunteers who share a collective passion for putting together an event for fans by fans.
Additionally, to be eligible for SMASH! Staff you must be at least 18 years old. All roles are interstate, unless explicitly stated otherwise on the role’s page.
Production
The SMASH! Production Department is responsible for planning, coordinating, and executing the logistical & technical aspects of all stages at SMASH!. We ensure the stages run smoothly and successfully. We work closely with the Programming and Guests Departments who are responsible for the content, and with the Operations Department who are responsible for the holistic logistics and safety of the convention in its entirety.
Stage Tech Coordinator

MC & Translators Coordinator OTD

Sales & Partnerships
Sales and Partnership (S&P) is where relationships with exhibitors and sponsors are forged and maintained. Our mission is to create a captivating experience for attendees by working closely with businesses interested in being part of SMASH!. As a member of S&P, you’ll be at the forefront of fostering strong connections, ensuring exhibitors and sponsors feel valued and supported throughout their journey with us. Your role will encompass diverse responsibilities, including approaching businesses for exhibition and sponsorship opportunities, collaborating with exhibitors and artists throughout the year, and coordinating closely with various departments within SMASH!.

Business Development Manager
As the SMASH! Business Development Manager, you’ll be the ultimate connector and master of bringing in new business. You’ll be like the superhero of sales, swooping in to save the day with your charm, charisma, and savvy business skills. You’ll be responsible for identifying new opportunities, building relationships with key partners, and working closely with different departments at SMASH! to meet their wants and needs. Creative
Creative is where the visual magic happens for SMASH! and works closely with the Marketing, IT and People & Culture teams. Primary responsibilities will include developing and maintaining consistency in visual images across all of SMASH!’s website, social media platforms, marketing materials, and other internal design requests. You will be able to showcase your creative skills and gain hands-on experience with a large scale event.
Video Editor
As a video editor you are responsible for delivering edited completed video content which would be used for marketing/sponsorship across the year. This may include content that will be published on SMASH! Social media platforms including Youtube, Facebook video, and Instagram Reels/IGTV, as well as the SMASH! Website and any third party collaborations.
Media Team Leader
As our Media Team Leader you will be responsible for overseeing the logistical aspects of all media-related production while also playing a key role in establishing good communication within the team at SMASH!. You are someone with a great understanding of the on-set production process including photography skills and hardware knowledge.
Some projects you will oversee include: on the day Photography and Videography, SMASH! hype videos, SMASH! TV, Merchandise Photoshoots and website content.
Director of Photography
As our Director of Photography (DoP), you will be responsible for ensuring that every shot captured by the team meets our standards of quality. You possess a deep understanding of photography and a keen eye for composition, allowing you to flag any photos that do not meet quality standards. You will also be working closely with the Media Production Manager to discuss any special camera or lighting requirements and are expected to be on set during production.
Projects you will oversee include: on the day Photography and Videography, SMASH! hype videos, SMASH! TV, Merchandise Photoshoots and website content.

As a SMASH! Photographer, you will be responsible for creating high-quality visual content that supports our marketing, branding, and communication efforts. Your primary focus will be to capture compelling images that convey our company’s story, products, services, and culture. You will collaborate closely with our Director of Photography (DoP) to ensure that our visual content aligns with our brand identity and objectives.

You will collaborate closely with our Director of Photography (DoP) to ensure that our visual content aligns with our brand identity and objectives.

3D Artist
As a 3D Artist you are responsible for working on illustrated 3D art projects and some animated projects which would be used for marketing/sponsorship across the year. This may include content that will be published on SMASH! social media platforms including Youtube, Facebook video, and Instagram Reels/IGTV, as well as the SMASH! website and any third party collaborations.
3D Animator
As a 3D Animator you are responsible for bringing to life the SMASH Mascots Skadi and Cyrus and other characters in animated projects. They will be used for marketing/sponsorship across the year. Additionally working to maintain technical and creative requirements for the animation as required by the Creative Director. Content that will be published will be on SMASH! social media platforms including Youtube, Facebook video, and Instagram Reels/IGTV, as well as the SMASH! website and any third party collaborations.
Creative Content Design Lead
As a Creative Content Design Lead you are responsible for managing the Art & Design sub-department, made up of Graphic Designers, Motion Graphic Designers and Illustrators.
Your duties will be coordinating the team and assessing the content briefs for marketing/sponsorship collateral across the year. This includes content that will be published on SMASH! social media platforms including Youtube, Facebook video, and Instagram Reels/IGTV, as well as the SMASH! website and any third party collaborations.
3D Generalist
As a 3D Generalist you are responsible for working on 3D art and animation projects which would be used for marketing/sponsorship across the year. This may include content that will be published on SMASH! social media platforms including Youtube, Facebook video, and Instagram Reels/IGTV, as well as the SMASH! website and any third party collaborations.
CG Supervisor
As a CG Supervisor you are responsible for working on 3D art and animation projects which would be used for marketing/sponsorship across the year. This may include content that will be published on SMASH! social media platforms including Youtube, Facebook video, and Instagram Reels/IGTV, as well as the SMASH! website and any third party collaborations.
People & Culture
Department of People and Culture (DPC) is responsible for looking after volunteers’ wellbeing at SMASH! – from the Staff to the Crew. The department consists of the following sub-departments – Staff Support, Crew Support and Community Engagement.
Staff is responsible for providing timely recruitment support to our Departments in search for on-going volunteer champions known as Staff, as well as supporting our Staff throughout their journey with SMASH!. Crew is responsible for searching for our conventionConvention day support champions known as Crew, as well as kicking off training and social events for our Crew team. Community engagement is responsible for developing solutions to engage with the wider community to promote SMASH!’s values. This role is pivotal to develop training and looking after the community within SMASH!.
Together, the department plays a vital part in managing human resources for SMASH! by providing support and advice, facilitating training, and monitoring the wellbeing of all of SMASH!’s volunteers.
Staff Coordinator
As a Staff Coordinator, you will be a part of SMASH!’s Staff team. Your responsibilities include but are not limited to: staff recruitment, training, and keeping records.
You will bring essential support and assistance to the Head Staff Coordinator within the Department of People and Culture in acquiring, developing, retaining volunteers as well as maintaining up-to-date information of our staff.
Marketing
Marketing department is responsible for driving revenue for SMASH! by finding an audience for our event and selling tickets to them. We maintain the social media platforms, emails, and the website content by planning and implementing digital campaigns and copywriting. We also liaise with external stakeholders to organise online competitions, pop-up booths, and events.

Our main responsibilities include:
- Tracking, forecasting and promoting ticket sales regularly
- Consulting on ticket pricing strategy
- Delivering on regular ticket sales targets
- Creating advertising and promotional campaigns to grow audience and converting existing audience to buyers
- Developing and managing a loyal community and adding value for existing audience
- Managing website and email updates to provide current information
- Promoting event content and information from other departments to further above goals
Social Media Assistant
As the Social Media Assistant, you will be responsible for managing multiple social media accounts, to create and implement the overall content and marketing strategy and to grow our audience. Your duties include engaging with the wider audience through social media and maintaining the social media platforms (Facebook, Instagram, Twitter, YouTube) and utilizing the, SMASH! app and website.
Accounting and Analytics
Accounting and Analytics (AA) team is a support driven department responsible for tracking and facilitating all revenue/expenditure before, during and after the convention as well as predicting and analysing any audience and business trends. By preparing data-driven insights and up-to-date reporting, the AA department aims to drive direction and clarity for SMASH! in both the present and future.
Accounting and Analytics Director
As the Director of the Accounting and Analytics (A&A) team, you will be the key figure in all things related to accounting and numbers for SMASH! You will be advising and executing the financial strategy of the organisation, ensuring the organisation meets its financial targets and legislative obligations as well as overseeing all the financial processes that cover the requirements of the internal departments at SMASH! You will also be overlooking behavioural and attendee data that flow into the organisation, planning for the informative analysis of this information in order to build bigger and better conventions in the future.
Attendee Experience
Attendee Experience is the foremost department within SMASH!, assisting with the planning and development of ticketing systems and convention wayfinding, as well as providing customer service and problem solving for our customers and ticket holders.
Customer Service Assistant
As the Customer Service assistant, you will work in tandem with IT to utilise our in-house ticketing system to deliver the best experience for our potential customers and attendees. The Customer Service department is also the key team responsible for answering enquiries and solving issues that may be presented from the public related to ticket sales.
Programming
Programming is one of the largest departments in SMASH! as they manage the curation, planning, and coordination of all our exciting activities and content. From planning new events to creating the programming schedule for the event days, the programming teams play a crucial role to ensure that the SMASH! weekend schedules run successfully and that attendees have awesome things to do.
Our department consists of several teams which include Arts & Crafts, Cosplay, Competitions & Programming Guests, Culture, Gaming, Karaoke, Fan Fiction, Itasha, Maid Cafe, Performances, Panels & Workshops, TCG (Trading Card Games), and Trivia. Each department has at least one Coordinator and an Assistant.

Performances Assistant
The Performances Assistant works alongside the Performances Coordinator on the Performances stage in creating a fun and vibrant stage for idols, bands and dance groups to showcase their talents and skills, and putting on a great show for the attendees at SMASH!!
Maid Cafe Coordinator (Administration)
As a Coordinator, you are responsible for developing capabilities, delivering services and proactively improving the customer experience. Your attention to detail and dedication ensures Maid Cafés are well represented. The Coordinator (Administration) primarily focuses on inter-department engagement within SMASH!; managing internal stakeholders as well as supporting non-core operations required for success.
Maid Cafe Coordinator (Operations)
As a Coordinator, you are responsible for developing capabilities, delivering services and proactively improving the customer experience. Your attention to detail and dedication ensures Maid Cafés are well represented. The Coordinator (Operations) primarily focuses on implementation activities; the what and how of services delivered to guests.
Maid Cafe Coordinator (Training)
As a Coordinator, you are responsible for developing capabilities, delivering services and proactively improving the customer experience. Your attention to detail and dedication ensures Maid Cafés are well represented. The Coordinator (Training) primarily focuses on education activities; the equipping of maids to perform their best.
Maid Cafe Assistant Coordinator
As an Assistant Coordinator, you are responsible for supporting capabilities, helping service delivery and proactively improving the customer experience. Your attention to detail and dedication ensures Maid Cafés are well represented. The Assistant Coordinator is an individual contributor that has previously demonstrated ability to work within Maid Cafés.
IT
IT is responsible for all the technical issues and matters prior, during, and after the SMASH! convention. Our responsibilities range from managing the internal background and software of the SMASH! website, to on-the-day technical exercises and duties. SMASH! has a number of systems that help make the convention the great success that it is, many of the which have been developed in-house. The IT infrastructure that we manage is the backbone of the convention, as all departments rely on the systems running smoothly and without delay or fault.
The IT department has a flat management structure with all members reporting directly to the IT Director and advising them of the best possible solutions to meet requirements and achieve goals. The team also employs a principle of “You can ask anyone anything anytime for any reason”, meaning no-one can stop you from asking hard and important questions and suggesting new ideas. SMASH! IT is a collaborative environment where all team members are part of developing projects and direction within the department.
Systems Administrator
As a System Administrator, you will be responsible for ensuring smooth and reliable functionality of our servers, services and networks throughout the year, and for configuration and monitoring of services and networks required during the convention itself.
