Position Purpose

Overall, an Estimator for Sutter Roofing must be an expert in commercial roofing and aware/educated on the latest industry trends/requirements.  Basic duties include the preparation of accurate, code-compliant, detailed estimates based on our customers needs and expectations.  Bidding projects and following/monitoring that project through to completion and the post-job review meeting is an estimator’s primary responsibility.  Estimators communicate with management, Project Managers, Foreman and other staff on a daily basis to ensure they are fulfilling all estimating responsibilities on a daily basis.

Daily Responsibilities

Developing a Project Estimate 

  • Estimators should use historical data in developing a project estimate.
  • Converse with Project Managers on labor time needed.
  • In developing estimate, be realistic in what company/manpower is able to do.
  • Include all aspects of the project in the estimate:
    • Inform Project Manager of how much time is estimated for Wood Nailers.
    • Note code requirements for AC and upfit needed. 

Job Planning

Estimators must be knowledgeable of all parts of the job/project process.  It is crucial to successful completion of each and every job.  Following is the outline of the job process that each Estimator must be aware of: 

  1. Bidding Projects:
    • Communicate with the Project Manager and Foreman in the bidding stages to get appropriate input on labor for different phases or scope of work.
    • Follow-up bids negotiate – sell the job to the client or customer. Must provide top customer service to internal or external customers at all times. 
    • Work with sub-trades to package proposals.
    • Utilize bid log program.
    • Review historical data (job costs) for similar projects to check man hours per square & GP per man hour.
    • Communicate with Project Managers and find projects similar in scope to the project you are bidding.
    • Use the man hours per square and gross profit per man hours as an indicator of (1) total labor required to install all roofing and sheet metal work, and (2) the gross profit we want to achieve on the project. Discuss on GP per man hour. 
  1. Pre-Roof Meeting: An Estimator is required to attend all pre-job/roof meetings to go over the complete scope of work.  At this time the Estimator must also provide the Foreman’s Package to the Project Manager. 
  1. Pre-Job Planning: It is necessary for the Estimator to review all project information.
    • Blueprints: Ensure the Project Manager understands our scope as it pertains to curbs, pipes, skylights, etc.
    • Scope of Work: have a clear and specific written proposal to include type, quantity, attachment and application methods.
    • Submittals: The more detail provided is better. Review the submittal to make sure all details are spelled out.
    • Budget: Go over the budget with the Project Manager to ensure there is a clear understanding of this.
    • Warranties: Submit manufacturer’s paperwork.
    • Subcontractor: Have contract prepared and signed, meeting insurance guidelines, by subcontractor well before job start time. Include in sub site meetings before work is ready.
    • Schedule: Let the Project Manager know what the customer’s expectations are; note any of these in writing.
    • Materials List: Provide the materials list as generated by “The Edge” software showing which items are coming from shop inventory, transfers from other projects or outside material suppliers.
    • Change Orders: Present any that you know of prior to job starting. Determine what tools are needed to get maximum production and minimize physical strains on labor force.  Price/prepare change order requests as necessary.
    • MSDS: Ensure we have one for all materials.
    • Safety: Identify possible hazards on the project and formulate a plan to prevent or minimize the hazards. Identify safety equipment needed for the job.
    • Verbal Agreements: Write down so that all parties understand what is expected. 
  1. Post-Job Review: Attend post-job review meetings. Review projects with Project Manager and Foreman to analyze budget, was project successful or not, within or over budget.

Additional Duties

  • Estimators should also attend local trade meetings, seminars and conventions to serve as a positive, professional representative for Sutter Roofing, but also to keep-up on Estimating and industry developments.
  • Attend customer contact functions as requested.
  • Additional duties as assigned.

Skills and Attributes

  • Good planning and organizational skills. Must be able to meet deadlines on multiple projects simultaneously. 
  • Thorough knowledge of roofing systems, codes and application methods.
  • Commercial roofing estimation skills and experience. Strong mathematical background and ability to think both analytically and linearly.
  • Well-developed interpersonal and communication skills; customer service.
  • Professional appearance and manner.
  • Excellent attention to detail.
  • Ability to lift approximately 5-15 lbs (office material) / and as necessary to visit/climb onto roofs.

Education/Experience:

  • Minimum 5 years experience in roofing industry in sales, technical or field position; or 5 years prior estimating experience.
  • Proficient in computer assisted take-off methods including The Edge, on-screen take-off, bid reporting and other estimating technology.
  • Experience and ability to adopt new technologies in estimating and delivery of the estimating service to our customers.
  • Must have excellent computer knowledge and use of all Microsoft office programs, average typing ability and ability to communicate via Outlook, and write proposals, reports, job files and other job required reports.
